Hip Numbering

Even though you have the ability to add hip numbers individually to each consignment, the program gives you several options to automatically assign the hip numbers.

From the My Sales page, click the Actions tab on the left and then click the Hip Numbering button.

From the Hip Numbering screen you will notice three tabs at the top of the page, in addition to the help tab, giving you the ability to Hip Number by Name, Hip Number by Dam and Import Hip Numbers.

Note:  In the Hip Number By Name & Hip Number by Dam tabs, you will see a group of settings for the total number of sessions you currently have assigned to your sale.  If you ARE using sessions, each consignment entered MUST be assigned a session to be assigned a hip number. If you are not using sessions these tabs will say "Single Session Sale." 

Hip Number by Name

The "by Name" option uses the 6th character of the sale horse's name. If the horse name is shorter than 6 characters, it uses the last character.

If you have multiple sessions in your sale, you can either A) continue hip numbering this session in numeric sequence, or B) choose a different Hip Number starting value for each session (example: Session A and Session B cannot both start at Hip 100).  For each session, perform the following steps.

  • Choose the session from the drop-down list.
  • Enter the starting letter and starting hip number for each session.
  • If hip numbers have previously been assigned you can overwrite any existing hip numbering by checking the Overwrite Existing Hips check box and then clicking the Assign Numbers button, or click the Wipe Out All Hips & Start Over button.
  • Once you are happy with your settings for this session, click the Assign Numbers button.
  • Continue this process for each session.

Click the Return to Horse List to return to the My Sales page.

Hip Number by First Dam\Second Dam

The "by Dam" option uses the 6th character of the dam's name. If the dam's name is shorter than 6 characters, it uses the last character.

Again, if you have multiple sessions in your sale, you can either A) continue hip numbering this session in numeric sequence, or B) choose a different Hip Number starting value for each session (example: Session A and Session B cannot both start at Hip 100).  For each session, perform the following steps.

  • Choose the session from the drop-down list.
  • Enter the starting letter and starting hip number for each session (on subsequent session you can choose to continue hip numbering in numeric sequence).
  • If hip numbers have previously been assigned you can overwrite any existing hip numbering by checking the Overwrite Existing Hips check box and then clicking the Assign Numbers button, or click the Wipe Out All Hips & Start Over button.
  • Once you are happy with your settings for this session, click the Assign Numbers button.
  • Continue this process for each session.

Click the Return to Horse List to return to the My Sales page.

Import Hip Numbers and Sessions

Finally, you also have the ability to import the hip numbers. First download the Excel spreadsheet template used for uploading and importing your pre-assigned hip numbers. Complete the template by including Sale Horse names, their Sale Company ID Numbers, the assigned hip numbers and session, if applicable.

Note: Be aware that this import will ONLY work if the Sale Company ID number on the spreadsheet matches one of the existing consignments EXACTLY. If you are not using Sale Company ID numbers, the "Import Hip Numbers" feature will not work.

Note: If the session assigned to the horse in the program and the session to the horse on the Hip Number spreadsheet are different, the session listed on the Hip Number import spreadsheet will replace the session already assigned to the entry. Make sure that your sessions match before importing Hip Numbers.  

Once the spreadsheet has been completed and saved, click the Choose File button and choose the correct file.  Once the file name appears next to the button, click the Upload and Process button.  The program will handle the rest.
